Free 30-Day Founding Pilot

Prove it on one live project

One live project. Thirty days. Full setup, onboarding and evidence reviews, free for selected subcontractors.

There is no software charge for an accepted founding pilot. Participation requires active engagement from the company and project team, and applications are reviewed to confirm the project, team and evidence problem are suitable for a meaningful pilot.

Site Chronicle is already operating on controlled live projects. The founding pilot programme is the first structured external rollout cohort.

THE 30 DAYS

Four dated stages, ending in one evidence report

Every stage has a fixed point in the 30 days and a stated hand-over, so you always know what exists at the end of it.

  1. DAY 0

    Evidence review and project setup

An initial review of your current records, then the project set up around the real job: areas, activities, people and plant imported for you.

    DELIVERED

Your live project configured and ready for the crews.

  2. WEEK 1

Site users onboarded, live records begin

Your nominated site users are onboarded and the crews start filing real diaries in the first week.

    DELIVERED

Daily records being written on site, on the day, by the people doing the work.

  3. WEEKS 2–4

    Weekly reviews and gap correction

Live operation on your project, with short weekly evidence reviews run against what the site is actually filing.

    DELIVERED

A review every week: what was captured, what’s missing, and what needs action.

  4. DAY 30

    Evidence report and rollout recommendation

The pilot is reviewed against what you were recording before: what improved, what your old process would likely have missed, and where risk remains.

    DELIVERED

The end-of-pilot evidence report, plus a straight rollout recommendation, including “don’t”, if that’s the honest answer.

Why it’s free

We’re accepting a limited number of founding subcontractors so the platform can be measured on genuine live projects, and so the first published case studies are real. The pilot is founder-led, which is exactly why it’s selective: each one gets proper setup, onboarding and weekly attention, not a login and a leaflet.

WHO QUALIFIES
  • 01An appropriate live project with at least a month left to run
  • 02A relevant decision-maker involved from the start
  • 03Nominated site users who’ll write the diaries (typically 1–5 people)
  • 04Commitment to onboarding and short weekly reviews
  • 05Honest product feedback, and agreement that pilot performance is measured
  • 06Agreement that anonymised, aggregated pilot performance may be used in a case study, subject to confidentiality requirements and the customer approving the final wording before publication

What management receives at Day 30

An end-of-pilot evidence report reviewing what was measured: diary completion, records and photographs captured, delays and instructions recorded, client acknowledgements (what improved, what your old process would likely have missed, where risk remains), and a straight rollout recommendation, including “don’t”, if that’s the honest answer.

AFTER THE PILOT

Paid Company Rollout

Rollout is where Site Chronicle becomes your company standard: multiple projects, multiple diary writers, project managers and commercial teams on one system, with consistent evidence standards, central reporting and management oversight. New projects are onboarded as they start.

Paid rollout terms are agreed with each company at the end of the pilot, based on its team, projects and implementation requirements.

GUARANTEE

The Site Chronicle Commercial Recovery Guarantee

After a successful pilot, customers moving onto an annual paid rollout are protected by our Commercial Recovery Guarantee. If qualifying recoveries supported by Site Chronicle during the first 12 months total less than five times the annual software subscription fee, the second-year software subscription will be provided free, subject to the Guarantee Terms.

This is intended to align the cost of Site Chronicle with the commercial value of stronger contemporaneous evidence. It is not a guarantee that any individual claim, variation, delay or other entitlement will be accepted or paid.

Pilot questions

Why is the pilot free?

Site Chronicle is accepting a limited number of founding subcontractors so the platform can be measured on genuine live projects. Accepted companies receive setup, onboarding and 30 days of use without a software fee. In return, they must commit to active participation, weekly reviews and honest feedback.

Is every applicant accepted?

No. Applications are reviewed to confirm that the project, team and evidence problem are suitable for a meaningful pilot. The pilot is founder-led, so places are limited. If an application isn’t a fit yet, we’ll say so honestly and usually suggest starting with the free Evidence Health Check instead.

What must our company commit to?

An appropriate live project; involvement from a relevant decision-maker; nominated site users who’ll actually write the diaries; taking part in onboarding and short weekly reviews; honest product feedback; and allowing pilot performance to be measured. Pilot participants agree that anonymised, aggregated performance may be considered for a case study. Nothing is published without the customer approving the final wording, and no confidential project or commercial information will be disclosed.

What happens after the 30 days?

You get the Day-30 evidence report and a straight rollout recommendation, including “don’t roll out”, if that’s the honest answer. Nothing converts automatically, and there is no commitment to proceed with a company rollout. If you proceed, the pilot project carries straight on; if you don’t, you keep a full export of everything captured.

Is the company rollout paid?

Yes. Rollout is where Site Chronicle becomes a paid subscription. Paid rollout terms are agreed with each company at the end of the pilot, based on its team, projects and implementation requirements. You pay for diary writers (the supervisors and foremen who create records), not every operative on site.

Can records be edited after submission?

Submitted diaries are locked against content editing. Reopening one requires a stated reason and is written to the audit trail, designed to support the credibility of contemporaneous records.
